Core Document Checklist

Important: Ensure all documents are originals or unabridged versions issued within the last 5–10 years.
Passport
Must be valid for at least 6 months from your date of travel.
Police Clearance (PCC)
Issued by SAPS Criminal Record Centre (CRC). Note: Usually only valid for 6 months for visa purposes.
Academic Qualifications
Your Matric certificate or highest relevant degree/diploma.
Transcript & Letter
Some countries (like Qatar) require an original transcript and a letter confirming study mode.
Unabridged Birth Certificate
Essential if you are moving with family or for general ID verification.
Marriage Certificate
Required only if you are being sponsored by a spouse or sponsoring a spouse.
Medical Report
Often required by the host country’s embassy or a specific panel doctor in South Africa.

The Legalization Process

You cannot simply take your documents to the airport. They must follow this Chain of Authentication sequence:

Step 01
Verification (Departmental Level)
Before DIRCO will touch your documents, they must be verified by the issuing department:
  • Matric Certificates: Verified by Umalusi.
  • Degrees/Diplomas: Verified by SAQA.
  • Private Documents: Signed by a Notary Public and authenticated by the High Court.
Step 02
DIRCO Authentication
Submit verified documents to the DIRCO Legalization Section in Pretoria.
Result: They attach a Certificate of Authentication (not an Apostille).
Timeline: Currently 6–8 weeks for standard processing.
Step 03
Embassy Attestation
Take DIRCO-authenticated documents to the specific embassy of your destination country (e.g., UAE Embassy in Pretoria).
Result: An official embassy stamp/seal.
Note: Fees vary significantly between countries (e.g., UAE vs Qatar).

Important Notes for South Africans

CRITICAL: NO LAMINATION
Never laminate your original certificates. Authentications cannot be placed on laminated paper.
AGENCY VS. DIY
Doing this yourself involves multiple trips to Pretoria (Umalusi, SAQA, DIRCO, and the Embassy). Most people use a courier-based legalization agency to handle the "chain" for them.
WORK CONTRACT
Your employer in the Middle East must provide a signed job offer or contract. This is required to start the visa process on their end.
